Our starting point
Shortlist ActiveCampaign when the email journey and existing integrations are central. Shortlist HighLevel when consolidating client workspaces, lead follow-up and appointment workflows is the bigger opportunity.

| Decision factor | HighLevel | ActiveCampaign |
|---|---|---|
| Cost inputs | Agency plan, usage and retained tools | Selected product, contact count, tier and required extras |
| Primary evaluation | Whole client-delivery workflow | Marketing automations and required integrations |
| Check before moving | Which tools actually disappear? | Which automations require a particular tier? |
| Keep out of the forecast | Assumed savings on tools you still need | Unverified price at your contact volume |
Inventory the automations that matter
Count your critical journeys, not just your contact records. A welcome sequence, a lead-scoring process and a purchase-triggered reactivation flow can have very different dependencies. Record each trigger, wait step, condition, integration and exit rule. Use that inventory to request the correct plan from each vendor.
Use your real contact volume
ActiveCampaign’s pricing interface asks buyers to select product, contact volume and currency. Its tiers differ in included capabilities. We do not assign one headline price to every agency. Obtain a quote for the contact counts you expect now and after growth, then put that quote into your overall software budget.
Test the awkward cases
A migration can look successful when a new lead enters the first automation. It can fail later when a returning customer has multiple tags, an integration retries an event, or a contact unsubscribes halfway through. Build a small test set with those cases before moving live contacts.
- Check suppression and unsubscribe behavior before any production send.
- Check how duplicate contacts and multiple identifiers are handled.
- Check event timestamps, time zones and waiting conditions.
- Check whether your client needs any integration that the new stack cannot replace.
Avoid counting the same saving twice
If your agency keeps ActiveCampaign for one client, its cost remains in the retained-tools allowance. If a paid integration is still needed, include it too. HighLevel may simplify some workflows, but the calculator does not assume feature equivalence or that every existing bill disappears.
Choose around a repeatable workflow
For an agency whose core service is sophisticated email lifecycle work, replacing the entire delivery platform may be unnecessary. For an agency packaging lead capture, follow-up and bookings across many clients, a broader consolidation may deserve a pilot. These are editorial starting points, not measured product scores. Ask both vendors to demonstrate your own workflow before buying.
