The base plan and AI are separate decisions

Budget for your HighLevel platform subscription first. Phone and messaging charges remain separate from AI subscription fees, and some AI products retain usage billing. AI usage rebilling to clients requires Agency Pro; a need for more workspaces alone does not.

Check the platform tier you actually need, then use the current in-app AI pricing for each location.

An illustrative 20-location rollout

Enabling the $97 subscription for 20 locations creates a $1,940 monthly AI subscription charge, before the platform fee and other usage. That is a budget example, not a recommendation to enable every location.

If only five locations have the relevant workload, five subscriptions cost $485 per month. The other locations can be reviewed separately; their pay-per-use activity can still add charges. Do not count idle locations as a reason to buy a subscription.

Start with one location and a defined workflow

  1. Choose a bounded job. For example, handling incoming appointment enquiries outside staffed hours. Document what the assistant may answer and when a person must take over.
  2. Use authorised sample enquiries. Test an ordinary booking, a request outside the service area, a pricing question the knowledge base cannot answer, and a request for a human.
  3. Check the outcome in the account. A plausible answer is insufficient: confirm the right calendar, client workspace, owner and follow-up action. Keep a manual fallback available.
  4. Inspect the complete charge. Separate the AI subscription, phone/messaging use, other billable products and staff review time. Set the available usage limits before expanding.
  5. Repeat the checks for each new location. Each client needs its own approved facts, routing and escalation owner. Expand only when those checks and the budget pass.
